Where you have registered with us, we may collect, use, store and transfer different types of personal data

The personal data we collect from you includes:

Contact data including name, address, email address and phone numbers (client and candidate)

Date of birth, National Insurance number, Unique Tax Reference (UTR), passport number, visa details if applicable, employment history and qualifications, bank details and criminal conviction data (candidate/employee)

Home specifications, property security and bank details

References, where you have provided us with contact details

Your preferences such as location of work, preferred hours and salary (employee only)

Health data such as ‘allergies’ (client and employee)

Criminal conviction data (employee)

Device and browser data such as IP address (client and employee)

Marketing and communication preferences (client and employee)

Why we need it

To assist us in carrying out our role as recruiter and employer

We use Google Analytics software to collect information about how you use Clockworkhouse.co.uk

We do this to help make sure the site is meeting the needs of its users and to help us make improvements, for example improving site search.

How we use your personal data and collect it

We will only use your personal data as the law allows and whilst fulfilling our obligations as a recruiter and employer, as follows:

Where we need to fulfil the conditions of a contract that we are about to enter into or have already entered into with you

Where we need to comply with a legal or regulatory regulation

Where you have given your consent for us to do so

We will not sell or rent your data to anyone else for marketing purposes

We will however, share your data if we are required to do so by law, for example, to the HMRC for purposes of paying tax and National Insurance contributions (employee only) by a court order or to prevent fraud or other crime.

How long we keep your data

We will only retain your data for the purposes set out in this document and for as long as is necessary to fulfil the purposes we collected it for, including for the purposes of satisfying any legal, accounting or reporting requirements (client and employee)

By law we have to keep certain information about candidates/employees for between 1 and 7 years. Where we have entered into a contract with you, we may also need to retain data for up to 7 years in order to ensure that we can meet our contractual obligations to you (client and employee)

As we place candidates in domestic settings, where candidates may work with children or vulnerable people, we may need to keep records about placements, (employees and clients) for up to 21 years, in case of a later legal claim by a minor. In most cases, however, we will not need to keep personal data for this length of time.

Children’s privacy protection

We may collect information such as the name, sex and age of children belonging to the Client where the client engages us to recruit for a childcare professional position, however, this information will not be retained any longer than it takes to fill the ‘position’

Where your data is processed and stored

We design, build and manage our systems to make sure that your data (client and employee) is as safe as possible at any stage, both while it is processed and when it is stored.

How we protect your data and keep it secure

We are committed to doing all that we can to keep your data secure. We have set up systems and processes to prevent unauthorised access or disclosure of your data, for example, we protect your data using varying levels of encryption.

We also request that any third parties that we deal with (the client) keep all personal data ascertaining to our employee, secure throughout the duration of any contractual obligation and destroy such information once our employee ceases working for them

Your rights

You have the right to request:

That anything inaccurate in your personal data is corrected immediately

You can also:

Raise an objection as to how your personal data is handled and processed

Request that your personal data is erased if there is no longer a justification for it

Ask that your personal data is restricted in certain circumstances
